The E-Commerce Operations Executive is responsible for ensuring the smooth day-to-day operations of the Company‘s e-commerce business across owned channels and third-party platforms. This role oversees order processing, financial reconciliation, customer service, operational documentation, and cross-functional project coordination to deliver an efficient online shopping experience and support business growth.

I. Some of the key responsibilities

• Coordinate and process online orders across the Company‘s website and third-party platforms (e.g. Lazada), ensuring timely order fulfillment, inventory accuracy, returns, refunds, and delivery coordination with retail stores, logistics partners, and vendors.
• Perform operational and financial reconciliations, including COD, payment gateways, marketplaces, vendors, retail transactions, bank transfers, accounts receivable, and monthly reconciliation reports.
• Review and prepare operational documentation, including partner contracts, payment requests, reconciliation reports, and other paperwork while ensuring compliance with internal procedures.
• Support e-commerce projects by coordinating with internal teams and external partners, maintaining and optimizing ERP systems, and participating in new platform implementations and integrations.
• Provide daily customer service support by handling inquiries, tracking orders, resolving complaints, coordinating returns and exchanges, and ensuring a positive customer experience across all communication channels.
• Other tasks assigned by the Company.

II. The Successful Applicant 

• Bachelor‘s degree in Business Administration, E-Commerce, or a related field.
• Minimum 3 years of experience in E-Commerce Operations, Customer Service, or related roles.
• Experience working with ERP systems, e-commerce platforms, online marketplaces, payment gateways, or omnichannel retail operations is highly preferred.
• Experience participating in system implementation or e-commerce projects is a plus.
• Strong organizational, analytical, and problem-solving skills with high attention to detail.
• Proficient in Microsoft Excel with the ability to manage and analyze operational data.
• Good communication, coordination, and stakeholder management skills.
• Proactive, responsible, adaptable, and able to work effectively in a fast-paced environment.
