This position is accountable for providing administrative support to ensure the smooth execution of IT-related activities, including procurement coordination, financial reconciliation, documentation handling, and general administrative duties. The role also contributes to overall office operations by supporting shared administrative processes and coordination across departments.
I. Some of the key responsibilities
- Ensure Accurate Documentation and Labeling: Manage all documentation (print product labels) related to IT procurement, payment, vendor communications, and office-related administrative records to ensure accuracy, completeness, and compliance with internal procedures.
- Facilitate IT Procurement, Payment, and Administrative Processes: Collaborate with internal departments and external vendors to support IT procurement, payment processing, and related administrative workflows, ensuring requests and invoices are handled accurately and on time.
- Budget Utilization & Administrative Tracking: Reconcile the monthly IT budget by tracking and reporting actual spending against planned budgets, while maintaining clear administrative records to support financial control and internal review.
- Vendor Contract & Service Administration: Assist in managing documentation for vendor contracts and service agreements, including drafting, reviewing, organizing, and maintaining contract files to ensure smooth execution and compliance with company policies.
- Process Improvement & Automation: Proactively identify repetitive, manual, or time-consuming tasks within IT and administrative workflows, and coordinate with relevant IT or Admin teams to automate or streamline processes, improving efficiency, accuracy, and service quality.
- Office Operations & Cross-team Coordination:
Support shared office administrative operations, including coordination of equipment, facilities-related requests, and internal administrative processes that impact daily office operations.
Work closely with internal teams to ensure alignment between IT administrative activities and overall office operations.
- Team Collaboration & Operational Continuity:
Work constructively with members of the IT team and relevant administrative functions, ensuring open communication, timely support, shared responsibilities, and continuity of operations.
Provide backup support when needed to ensure smooth day-to-day operations across IT Admin and office administration functions.
Perform other administrative or coordination tasks as assigned by management to support IT and office operations.
II. The Successful Applicant
- Fresh graduate or 1–2 years of experience in IT Admin, IT Support, or Office Admin roles.
- Educational background in IT or related fields.
- Basic understanding of IT systems, software, and administrative tasks.
- Basic communication skills and a friendly, service-oriented attitude. Good communication in English.
- Well-organized, careful, and willing to support multiple tasks.
- Proficient in MS Office; able to learn internal systems quickly.
